Sync Microsoft Teams Meeting Recording and Transcripts to HubSpot

What is it?

You can now connect Microsoft Teams with HubSpot to sync your meeting data seamlessly.

Here’s what you can do:

  • Automatically sync Microsoft Teams meeting recordings and transcripts to HubSpot for easy playback and archiving.
  • Capture participant data and link it to contact records—or even create new contacts for attendees not already in your CRM.
  • Get a complete list of your team's meetings in the call index and filter by properties for quick access.
  • Preview calls directly from associated records.

Plus, you can use conversation intelligence with your Microsoft Teams meetings. This means you can review AI-generated call summaries, track important terms, view call stats, add comments to transcripts, organise playlists for coaching, and much more.

Why does it matter?

This integration solves a big challenge—keeping all your meeting data connected. By syncing Microsoft Teams meetings with HubSpot, you break down data silos and ensure every customer interaction is accounted for. The result? How does it work?

It’s simple! Head to the Microsoft Teams integration settings in HubSpot and look for the "Meetings" tab. From there, admins can manage account-wide settings like permissions, sync preferences, exclusions, and individual user settings—all in one place.

What’s new?

You can now add a meeting calendar directly to your CTAs, letting visitors schedule time with you right inside the popup. No need to send them off to another tab or page—now they can pick a time right then and there. This helps reduce drop-offs and makes it even easier to turn interested visitors into high-intent leads.

Why is this a big deal?

Booking meetings is a key step in converting leads, but traditional CTAs often add extra steps, like redirecting users to external calendar pages. By embedding a calendar directly into the CTA, visitors can schedule instantly without leaving the page. The result? A smoother experience that turns curiosity into action, faster.

How does it work?

When creating or editing a CTA, simply drag the new Meeting module into your popup layout. Then, select the meeting link you want to embed from the dropdown menu. Voilà—your CTA now includes a built-in calendar!

Each CTA can feature one embedded calendar, helping you book meetings effortlessly. 

 

Automatically format property data at the point of entry

What is it?

Say goodbye to messy data! You can now automatically format your data as it enters the CRM, keeping it clean, properly formatted, and valid from the start. Whether users are manually editing properties or importing data, this feature has your back. For example:

Remove pesky letters from Postal Codes automatically.

Get rid of special characters in City names without lifting a finger.

Why does it matter?

Keeping your CRM data clean just got easier—and faster. No more chasing down invalid entries or fixing errors manually. HubSpot will now handle the cleanup for you as the data comes in. That means less time spent on corrections and more time focusing on what matters: growing your business.

How does it work?

Here’s the scoop:

  • Head to Objects > Settings > Properties > Edit Property > Rules to set it up.

This feature works for single- and multi-line text properties.

Under the ‘Allowed characters’ section, you can select 'Allow numbers only' or 'Don’t allow special characters.'

Once you toggle on 'Automatically remove disallowed characters,' HubSpot will do the heavy lifting—removing anything that doesn’t fit the rules you’ve set.

It’s a small change with big results. A squeaky-clean CRM is just a toggle away!

Multiple one-time discounts on Invoices

What’s New?

Good news! You can now add multiple discounts to an invoice instead of being limited to just one.

Sometimes, one discount just doesn’t cut it. Merchants often need to apply multiple discounts to better serve their customers—and now they can.

How Does It Work?

When creating an invoice, you can easily add multiple one-time discounts. Just a heads-up: this feature is only available if online payments are turned off.

Legacy Shopify integration - Sunset - 15 May 2025

What’s happening?

Okay, not really a feature more of a heads up warning! As we mentioned previously, HubSpot will no longer support the legacy Shopify integration after May 15, 2025.

To keep things running smoothly, make sure you install the new Shopify integration powered by Data Sync before this date.

Don’t worry—it’s a straightforward process. Hubspot even included a built-in migration wizard right in the Shopify app within your HubSpot portal. This handy tool walks you through everything: installing the new integration, migrating your workflows and sync settings, and saying goodbye to the legacy version.
