When it comes to business communication, reliability is non-negotiable. Over the past nine months, we moved away from Zoom at the request of some clients and did our best to integrate Microsoft Teams (MS Teams) into our workflows, hoping it would offer the flexibility and functionality our team needed.
We connected it with our HubSpot CRM, synced our calendars, emails, and embedded it into every corner of our operations. However, despite our best efforts, the experience for our high-volume Mac-using team has been—putting it lightly—far from seamless.
From technical glitches to frustrating security issues, MS Teams quickly became more of a hurdle than a help. Today, we’re sharing why we’ve made the decision to part ways with MS Teams and why Zoom Meetings is once again our platform of choice.
If you’re debating between Zoom or MS Teams, our experience might just help you make a more informed decision.
The MS Teams Experiment
For businesses, particularly remote and hybrid teams, robust communication tools are the backbone of daily operations. MS Teams arrived on the scene as a feature-packed solution, offering chat, file sharing, meetings, and more—all under one umbrella. On paper, it seemed perfect. And for many businesses, it may well be. But for us, and many Mac users like us, the reality is a different story.
Here’s a look at the critical challenges we faced with MS Teams:
Technical Issues Galore
From day one, our team encountered an unsettling number of technical problems.
- Audio Failures During Calls
Imagine hosting a client meeting where your audio drops midway through a critical discussion. This happened far too often in MS Teams, leaving us scrambling to reconnect.
- Document Access Roadblocks
Shared files should be straightforward. Instead, we were met with roadblocks when trying to access documents shared by third parties. Security protocols seemed overly aggressive, and even legitimate files were difficult to open.
- Lockouts at Crucial Moments
Being locked out of your files and meetings is frustrating under normal circumstances—but during our busiest time of the year? It was disastrous. Even our Admin portal, a core tool for managing tasks, became inaccessible at key moments.
Multi-Factor Authentication Meltdown
One of the breaking points in our MS Teams journey was the failure of its multi-factor authentication (MFA) system. MFA is meant to be a cornerstone of security, but instead of keeping our data safe, it locked us out of all MS platforms entirely.
Picture this: a full day of meetings ahead, and suddenly, you're completely blocked out. Frustrating? Absolutely. Critical downtime? Even worse.
As we write this blog, we’re still unable to access our files—despite spending one day on calls with MS customer support and another with their data protection team. Not exactly the seamless experience we were hoping for!
Why Zoom Meetings Wins for Us
After months of persisting with MS Teams, we knew it was time for a change. And for us, that change was back to Zoom. Switching back felt like a long overdue reunion—with a tool we know inside out and trust implicitly. Here's why Zoom Meetings has regained its place as our platform of choice for online meetings:
Effortless Migration
Transitioning back to Zoom was refreshingly simple, with no major challenges in migrating meetings, contacts, or settings. Within moments, we were back up and running. For businesses wary of switching platforms, this ease of migration is a big plus.
Reliability That Delivers
Where MS Teams faltered, Zoom delivers. From seamless audio quality to a user-friendly interface, Zoom Meetings has proven itself as dependable, meeting our team’s needs without any of the headaches we faced with MS Teams.
Intuitive for Everyone
Zoom works seamlessly on all devices—including Mac. Its intuitive design means there’s almost no learning curve, so new team members or clients can dive right in without any hassle.
While there have been stories about Zoom security issues, we’ve personally never run into any. For us, it’s been nothing but smooth, secure, and easy-to-use. A true win for hassle-free collaboration!
Stellar Meeting Experience
Zoom has perfected the video meeting experience. With high-resolution video, clear audio, and features like virtual backgrounds and breakout rooms, it sets the gold standard for online collaboration.
Whether it’s an internal brainstorming session or a high-stakes client pitch, Zoom just works.
How We’re Moving Forward
We understand that every organisation’s communication needs are different. While MS Teams may work well for some, the obstacles we encountered over six months made it clear that it wasn’t right for us. Choosing Zoom over MS Teams is ultimately about prioritising what matters most—reliability, efficiency, and a smooth user experience.
We’re confident this change will pave the way for better communication and collaboration, ensuring uninterrupted service for both our team and all stakeholders.
A Word of Advice
Choosing between Zoom and MS Teams? It all comes down to what works best for your team. Think about things like device compatibility, reliability, and how each platform fits your specific needs.
While Zoom Meetings has been a breathe of fresh air for us, your decision should focus on which one aligns better with your workflows.
For us, Zoom fits seamlessly into our tech ecosystem—right alongside Slack, Dropbox, Hubspot CRM, Chrome, Gmail, Calendars, and Docs. It’s like the final puzzle piece—simple, reliable, and ready to go!
Wrapping Up
Not all business platforms are created equal—believe us, we’ve learned this the hard way. The best tools are the ones that don’t just look good on paper but actually work seamlessly with your day-to-day needs.
For us, Zoom has proven time and time again to be the MVP (Minimum Viable Product) of reliability, and we’re excited to work once again with a tool we know we can count on.
When it comes to other tools, we’ve embraced a best-in-class approach. For file storage, Dropbox Business is our go-to. For collaboration and documents, Google Workspace gets the job done. We’ve found that trying to rely on a single, all-in-one solution often means settling for mediocrity across the board. Instead, we choose tools that excel in their specific areas—no compromises, no headaches.
Thinking of making the switch? Rest assured that it’s simpler than you think—and well worth the effort. Your team’s productivity and peace of mind will thank you.
